MINUTES OF THE BOARD OF THE
RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC.
October 9, 2018

The regular meeting of the Raymore-Peculiar Band Boosters Club was held in the HS Band room.  Those in attendance were: Melissa Hogan, Gina Riegert, Trina Westhues, Diana Edgecomb, Kelli Hurley, Laurel Baumgardner, Fred Baumgardner, Faye Tait, Catie Howlett, Jennifer Story, Tricia Kelley, Dana Wilhite, Matt Forsbeck, Shannon Thornhill, John Wilson, Travis Houston, Dillon Jarrett, Libby Craig


The meeting was called to order by President Trina Westhues at 7:00pm.  

• Introductions
  
• Meeting Expectations and Bylaws Objectives:
  
  • Assist the RP Band program and directors
    
  • Promote enthusiasm and commitment to band among students, parents, school board and communities
    
• Support instrumental music education throughout the district
  
• To raise funds to finance or partially finance activities related to music education
  

Business Reports:  

• The minutes from the September 11, 2018  meeting were reviewed. Motion to approve minutes -Dillon Jarrett, seconded Catie Howlett
  

Treasurer’s  Report: Faye Tait and Diana Edgecomb

• Bank statements in file
  

August balance not given.

• Financial Assistance- 3 students have applied. Still working with Mr.Wilson on approval
  
• Canopies and coolers were not charged to chuckwagon, falls under equipment budget
  
• Motion to approve Treasurer’s report by Kelli and seconded by Melissa-approved
  

Committee Reports:

Color Guard-

• making lots of adjustments
  

Fundraising -Kelli Hurley

• We need a Chair
  
• Trash bags- done, invoice paid
  
• Mums-Dana Wilhite- 682 sold $6820 in student profit
  
• Poinsettias- Melissa Hogan checking on this has not gotten response
  
• Butterbraids- Delivery date will be October 23rd concert, Samples were well received
  
• Culver’s Night- Howlett’s will check on setting up not scheduled yet
  
• Spirit Wear- 2nd order done and distributed
  
• Polar Express Night- December 8- 6-9pm. Asking for $500 budget. Motion to approve $500 budget by Trina, seconded by Melissa, approved. There will be Tuesday and Saturday workshops to prepare. Student fundraiser.
  
• Father/Daughter Dance-Kelli Hurley
  

Theme- Boots and Bling-- Feb 2nd. facility usage approved for workdays and dance. Planning meeting will be December 1st

• LulaRoe Fundraiser during October 23rd concert
  
• Do we still want to do Car show for percussion/color guard fundraiser? Mr. Houston to come up with Spring dates.
  

Field Crew/Band Dads-Brent Riegert -Head Band Dad

Uniforms – Jen Inman

• new plumes needed
  
• really could use new uniforms-10th year of usage--how do we begin this process?
  

Concert Wear- Lynette Grant

• Not sure how it’s going
  

Chuckwagon – Tricia Kelley

• Need to do something for Katie’s Catering
  
• Canopies purchased and vinyl done by Kelli Hurley-equipment budget
  

Director’s Report:

• Not sure how we want to do dinner at Odessa due to timing of performance and awards, it was decided that they would get a box meal on the bus
  
• Trip to Nashville, possibly Dollywood. ~$750 per person. Going through World Strides instead of Gateway
  
• Valhalla competition-scores really went up in finals-too bad that the competition was not able to be completed due to inclement weather. Kids really enjoyed meal at Lambert’s
  
• Odessa competition- doing parade, indoor competitions and field competition
  
• Park Hill-prelims, everyone makes finals
  
• Concert October 23rd
  
• 8th graders to do pregame at October 19th game. They will be matched up with high school buddies. They will perform the National Anthem and fight song. Will be dismissed at 3rd quarter
  
• We should load trailers after the October 12th and October 19th games for Saturday competitions.
  

New Business

• Football programs need to be picked up this week. We really need to find someone or multiple people to take this over from Jennifer Scrivener.  If we don’t do it, Athletic boosters would love to take it back and we may not get another chance with it.
