​MINUTES OF THE BOARD OF THE
RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC.
July 11, 2017
 
The regular meeting of the Raymore-Peculiar Band Boosters Club was held at Peculiar Meat Company, due to construction at RPHS.  Those in attendance were: Dana Wilhite, Allison Bruflat, Alec Adolphson, Kellie Norton, John Wilson, Sherry Dubois, Travis Houston, Melissa Hogan, Amanda McVay, Howard Kelly, Tricia Kelly, Christie Patterson, Angela Weis, Shannon Thornhill
 
The meeting was called to order by President Dana Wilhite at 7:02 p.m.
 

• Introductions: Christie Patterson, new Booster member, she has a freshman clarinet player.
• Meeting Expectations: Be respectful of each other and refrain from mentioning beating “dead horses.”

 
Meeting Minutes Approval: 

• The minutes from the June 13, 2017 meeting were reviewed.
• A motion to approve the minutes was made by Kellie Norton, seconded by Sherry Dubois; the motion carried.

 
Financial Report: Allison Bruflat

• Transactions (6/01/2017 – 6/30/2017); General fund currently has $21,507.14.
• Band Fees still owed: $2,399.30.
• Two outstanding checks uncashed: One for Sarah Keck, and one for drum majors.
• Allison attended and reported on Charms Training in St Louis.

 
Committee Reports:
 
Fundraisers Kellie Norton
 

• Chipotle:  August 29th.
• Kona Ice; Allison set up for band camp.
• Trash Bags: 8/1 Kim Roberts will do this but cannot deliver; will do it in front of school.
• Programs: Extra game will mean more revenue; more information to come.
• Mums; September, price will be $10 for band, so we will make less; flyers out 8/1, orders due 9/11, delivery will be 9/21.
• Peculiar Farmer’s Market: August 16, a free table to sell trash bags, mums, etc.
• Car Washes: 7/22 or 7/29 for Color Guard; 9/16, four locations: each section to have a location. Kids will have to go door-to-door to get pledges.
• 99-pledge; online practice, 2/1/2018-2/29/2018; kids go door-to-door to sell pledges.
• Calendar Fund raiser; $10 per calendar, prizes drawing each day; kids to sell door-to-door.
• Sonic: Not heard back yet.

 
Field Crew/Band Dads  Dana Wilhite

• Need another set of keys made. Current key holders include, Dillon Jarett, Travis Houston, Melissa Hogan (excluding semi trailer), John Bruflat, Chris Wilhite, John Wilson. The shed key cannot be copied, so whoever has (Chris and Angela have them) keys need to be present when needed.
• Need two more “fronts” for marching show this year.
• Need to make “Roman Columns,” need info about these and any other props needed.
• Semi trailer needs to be picked up by TransWest and inspected/licensed.
• Drivers:  Rebecca Glass’ father and Kellie Norton’s father (Omaha only) will drive.
• Melissa will talk with Penske about rental; try to avoid charges for extra day when cab dropped off late at night.

 
Uniforms Kellie Norton for Jennifer Inman

• Can uniforms be delivered before camp and sorted?
• Mr. Wilson said yes, in the North building.  We need to know what date Jen needs?
  • Students need to bring shoe order in so they can get ordered as soon as possible.
  • Will use sign-up genius to get help with fitting.
• Would like to fit tuxes/dresses at the same time this year.

 
Chuckwagon​ Angela Weis

• Family picnic set for August 15th; Alec and Howard will cook, Angela will deliver propane tanks to Alec to verify full. Kellie will supply hot dogs, hamburgers and buns. Band families will bring sides/chips; needs to be organized. 
• Kona Ice is good to go noon on the 4th and 11th. 
• Pizza party on 8/11.

 
Fall Football Programs Jennifer Scrivener

• Pictures, 8/7 at noon.

• Senior night 9/1; homecoming on 9/22. Five home games.
• Need volunteers to help sell; should be leader at each of the five games.

 
Spirit Wear: Sherry Dubois

• Will start orders 8/1.
• Money and forms due on last day of band camp.
• Show shirts are $10.

 
Old Business:

• Registration Table: 8/2, and 8/8.

 
New Business

• Budget Review.
• Line items reviewed and edited.
• Color Guard and Middle Schools’ financial needs discussed.
• Percussion drill writer, Alexander, may need additional funds.
• Drum Majors need new hats and coats.
• New Bibs are needed, $50 each.
• New Tux pants and shirts and dresses are needed.
• Flags need to be moved to props and materials line item.
• A motion by Dana Wilhite was made to approve the budget, seconded by Kellie Norton; the motion was carried.
• Kellie Norton recommended using Amazonsmiles.com for all purchases so that band can earn money.

 
Director’s Report: Mr Wilson/Mr Houson

• Drill music and show will be online soon.
• Mr. Wilson to write Newsletter, 7/15 or 7/22.

• Percussion will practice at RPEMS, 7/17 to 7/21, 8am to 2pm.
  • Mr Houston will write a maintenance order to move instruments from HS to MS.
• Color Guard Camp same dates/times at Peculiar Elementary.

• Mobile app available.
• Login is at top of statement.
• Fees can be split up
  • Fixed payment.
  • Miscellaneous ledger.
  • Allison will decide which accounting method to use.
• Trip fees separate from band fees.
• Recommended “AffiniPay” vice PayPal
  • A motion by Kellie Norton was made to use AffiniPay, seconded by Dana Wilhite; the motion carried.
  • Access AffiniPay through Charms.
• No online store available this year.
• Allison would like to set up our fundraising in Charms.

 
A motion was made by Dana Wilhite and seconded by Kellie Norton to adjourn the meeting around 8:30pm. Next meeting 8/8/2017 at 7pm, location TBD due to construction.
