MINUTES OF THE BOARD OF THE
RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC.
September 11, 2018

The regular meeting of the Raymore-Peculiar Band Boosters Club was held in the HS Band room.  Those in attendance were: Melissa Hogan, Gina Riegert, Trina Westhues, Diana Edgecomb, Kelli Hurley, Laurel Baumgardner, Fred Baumgardner, Faye Tait, Catie Howlett, Christy Reichow, Jen Inman, Jennifer Story, Tamarah Pritchard, Heather Williams, Brent Riegert, Mrs. Fagan, John Wilson, Travis Houston, Dillon Jarrett, Libby Craig


The meeting was called to order by President Trina Westhues at 7:05pm.  

• Introductions
• Meeting Expectations and Bylaws Objectives:
  • Assist the RP Band program and directors
  • Promote enthusiasm and commitment to band among students, parents, school board and communities
• Support instrumental music education throughout the district
• To raise funds to finance or partially finance activities related to music education

Business Reports:  

• The minutes from the August 14, 2018  meeting were reviewed. Motion to amend minutes to add Diana Edgecomb to the treasurer’s report by Faye Tait. Approved

Treasurer’s  Report: Faye Tait and Diana Edgecomb

• We currently have $39,539.95. $27,283.02 in student accounts (As of July 10, 2018)

August balance not given.

• Financial Assistance- 3 students have applied. How do they get approved
• .Concert Band fees- Not applied to student accounts yet. $30 per student. Diana motioned, Melissa seconded.
•  Sending out a reminder on how to get into Charms. Be sure to update phone number and email.
• Nosecone for rocket- motion to purchase made by Kelli Hurley, seconded by Melissa Hogan- approved

Committee Reports:

Color Guard-

• Change in leadership. Alyssa Clark stepped down for personal reasons. Jennifer Jungeblut has been hired.
• Travis Houston will check on status of color guard costuming

Fundraising -Kelli Hurley

• We need a Chair
• Trash bags-Kelli Hurley chairing, 1510 rolls sold, $14,000 of that kids earned $5000. Invoice for $9,597 due to Frontier given to treasurers. There is a spreadsheet for student sales. Trash bags that haven’t been picked up yet are in the band room divided by student.
• Mums-Dana Wilhite- 500+ sold. Pickup will be from 3-7pm on 9/20
• Poinsettias- Melissa Hogan checking on this
• Butterbraids- Delivery date will be October 23rd concert, Samples will be brought during class time on a Monday, Tuesday or Friday, 11:30am, 1pm, and 2pm
• Chipotle Night- Christy- We earned $422.88


• Culver’s Night- Howlett’s will check on setting up possibly in October
• Spirit Wear- deadline for 2nd order is next Wednesday 9/19.
• Polar Express Night- December 8- dinner- morning interferes with Lion’s Club. Need people to help. Santa, Polar Express, wear PJ’s. Have at the high school.
• Father/Daughter Dance-Kelli Hurley

Theme- Boots and Bling--will talk to Sherry to make contact about work space prior to the event- Feb 2nd. Will need to contact Karen Moore and Ellen Wilfong for facility usage.  Red runways in storage at middle school. Do we want to keep them? If so, must be moved out of middle school. Yes, we want them. Dillon Jarrett will make arrangements to get them.

• Asked if we should purchase nosecone for rocket- noted earlier

Uniforms – Jen Inman

• 23 uniforms need adjusting- ½ are done
• $3000 budget- $1400 for shoes, but those are paid by students, $300 for garment bags for color guard, 1 drum major jacket, senior cords, gloves (black and pink), garment bags for long dresses and also short garment bags, wristbands (black/white/pink)
• Thursday night- poncho folding party

Concert Wear- Lynette Grant

• Will measure during the school day. Will need help to alter before Oct. concert

Chuckwagon – Tricia Kelley

• BBQ was a success
• kids happy with snacks and fruit before game
• canopies need to be replaced
• Motion was made by Kelli Hurley to purchase the amount of canopies that $500 will buy. Melissa Hogan seconded

Director’s Report:

• Marching Band going well. Sarah doing choreography
• Show shirts should be in this week
• This Friday-Parade during school, game, trying to do part of show during halftime,
• Due to Sullivan competition being 4 ½ hours away, decision was made to change to Sedalia competition.
• Band would need to be in Sedalia by 7am, Would it be possible to do a second overnight? Friday night leave after halftime. $92 per room includes breakfast
• Valhalla competition- Saturday overnight then Lambert’s on way home.
• Motion was made by Jen Inman and seconded by Melissa Hogan for 2 overnights. If possible, use chuckwagon money for Lambert’s-otherwise $15 per person,
• Drummit at the Summit this Saturday. Meet at school at 12:30, perform at 3pm. Kids can get signed out after equipment is loaded. Cost is $7 adult, $5 for students
• Info for Raymore Parade and Blue Springs South competition is on a handout that can be picked up after the meeting.
• Possible Trip to Nashville April 5-8. Band and Choir. Approximate cost $800. Still working on approval.

New Business

• Gina will be getting aprons and lanyards for football games
