​MINUTES OF THE BOARD OF THE
RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC.
April 12, 2017
 
The regular meeting of the Raymore-Peculiar Band Boosters Club was held in the band room of the South Raymore-Peculiar High School building.  Those in attendance were: Dana Wilhite,  Jim Craig, Melissa Hogan, Allison Bruflat, Julie Adolphson, Scott Bradley, Kellie Norton, Travis Houston, John Wilson, Roger Nelson, Kadi Kneib, Kim McCauley, Justine Russell, Kelli Hurley, Donna Hadlock, Jennifer Boman, Christine Sivulka, Debbie Elrod, John Bruflat, Jennifer Gibson, Dillion Jarett, Cassandra Johnson, Tammy Eckerle, Jason McCamish, Angela Walker, Brenda Tilawen, Sarra Taylor, Diane Glass, Gary Glass, Lisa Tang, Matt Forsbeck, Angela Weis, Steve Weis, Addy Wright, Valorie Wright, Tammy Sumner, Jim Craig, Cindy Meyers, Jim Reisdorph, Keisha Anderson, Amanda McVay, Chris Wilhite, Dan Dorweiler, Jackie Dorweiler.
 
At 7:00pm there was a presentation for the mattress sale on 4/23/2017, at RPHS South building gym. The proceeds will go to individual student accounts.
 
The meeting was called to order by President Allison Bruflat at 7:26 p.m.
 

• Introductions
• Objectives of the Bylaws:
  • Assist the RP Band program and directors
  • Promote enthusiasm and commitment to band among students, parents, school board and communities
  • Support instrumental music education throughout the district
  • To raise funds to finance or partially finance activities related to music education
• Respect and consideration for our time and work

 
Meeting Minutes Approval: 

• The minutes from the March 2017 meeting were reviewed.
• A motion to approve the minutes was made by Kellie Norton, seconded by Kim Sickler; the motion carried.

 
Treasurer’s Report:  Allison Bruflat for Tracy Caskey

• Allison distributed transactions (2/28/2017 – 4/10/2017); General fund currently has $19,824.74
• Band Fees still owed: $2,924.42
• A motion to accept the treasurer’s report was made by Kellie Norton, seconded by Amanda McVay; the motion carried.
• Setting fees for next year. Mr. Wilson handed out sheets with proposed fees. Changes were made to trailer fees, uniform costs, and clinician costs.
• For concert bands: around $150; marching band: around $255.  These costs may change and include optional/contingent fees such as using a school-owned instrument, and marching shoes. It does not included the annual school activity fee (usually $50.00). Deposit of $75.00 is due by May 19.

 
Committee Reports:
 
Bylaws The bylaws will not be updated this year.
 
Band Extraveganza Allison Bruflat and Kellie Norton

• Dinner will include pulled pork and brisket, two sides, rolls. The cost will be $6.50 per plate.
• Assigned seating
• Sign-up genius for help; would like kids not performing to help

Chuckwagon Angela Weiss

• Last day of camp, pizza.
• Kellie can provide $5/day lunches; last year average was 39 per day.
• Cake and punch for Awards Night (5/16).

Fall Football Programs Allison Bruflat for Jennifer Scrivener

• 3 games in August; Senior night will be 8/18.
• Pictures (including banners) were discussed and will be during band camp (first 2 weeks of August). Banners need to be placed early to get good spots.

Father/Daughter Dance Sherry Dubois and Melissa Hogan

• Trunk or Treat, make them announcement (Beauty and the Beast).

Field Crew/Band Dads  Chris Wilhite

• May need to help clean up/paint music stands.
• Move to new building.
• Need to know what props are needed for drill soon.

Big Daddy’s Donuts  Allison Bruflat

• Profit from sale: $150

Mattress Sale

• April 23, 2017 at RPHS South Building
• Need 1 janitor all day
• Selling two mattresses pays band fees

Plant Sale Dana Wilhite

• May 6, 2017
• Bethlehem Lutheran Church (across from Price Chopper in Raymore)
• No pre-orders this year
• Need Volunteers, 8am – 3pm; sign-up genius

• Trash Bags Kellie Norton and Scott Bradley
• Forms are out, orders being taken; kids earn $3.75 per roll
• Delivery 5/10; 4-7pm
• We may postpone this until next year

5K Run/Walk

• Saturday 11/25
• Kids organizing (Zoe Shriner)
• Have course mapped out
• Website designed

Band Uniforms: Allison Bruflat for Jen Inman

• Jen and Amber McVay prepared all the marching uniforms for cleaners; need bids for cleaning
• Will need help with fittings at band camp.

Spirit Wear: Allison Bruflat for Sherry Dubois

• Backpacks were popular with color guard, should expand.
• Need to order earlier this year

 
Old Business:
Elections for 2017-18 School Year

• Positions: President, Vice-President, Secretary (Julie Adolphson to continue for one more year), Treasurer
• Committees needed?

 
Color Guard Report  Mr. Wilson for Sandi Williams

• Winter Guard did very well this season; earned some top finishes.

• The scrims were well received.
• Hoping to get a paid position for next season.

 
Director’s Report: Mr Wilson

• Chicago Itinerary using Gateway (same company as Hawaii trip).
• March 22-26; cost $674 (3 per room) to $824 (1 per room)
• Blue Man Group performance
• Participate in Heritage Festival
• Medival Times; Shedd Aquarium, Millennium Park; 360Chicago Observation Deck, and more
• State Solo and Ensemble; 4/28; 25 solos/ensembles to compete.
• Band auditions are complete and posted
• Wind Symphony to visit NW MO State (St Joseph) on 4/13; back around 11pm

Ms Gibson

• Scott Lang Leadership at Fort Osage; 37 attended; great experience

Mr Houston

• Iowa trip was very successful

 
New Business:
RayPec Cares Allison Bruflat

• Instrument closet initiative
• Will take donated instruments
• Take over contracts
• Work with new kids at instrument night
• Tax deductible

Luau Kellie Norton

• This could be a fun night for $25/couple
• Kellie will get more information and report at next meeting

 
Meeting adjourned at 8:15 p.m.  Next meeting (elections) 5/9/2017 at 6pm in HS Band room.
