​MINUTES OF THE BOARD OF THE
RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC.
May 8, 2018 AMENDED to add Signatories for Booster Bank Account
 
The regular meeting of the Raymore-Peculiar Band Boosters Club was held in the HS Band room.  Those in attendance were: Dana Wilhite, Allison Bruflat Julie Adolphson, Kellie Norton, Melissa Hogan, John Wilson, Travis Houston, Gina Riegart, Faye Tait,  Catie Houlets, Trina Westhues,  David Edgecomb, Diana Edgecomb, Libby Craig, Alyssa Clark, Christy Reichow, Tricia Kelly, Howard Kellie, Dan Norton, Kailee Hogan, Daniel Reichow, Angela Weis, Christal Chapman.
 
The meeting was called to order by President Dana Wilhite at 7:03p.m. 

• Introductions
• Meeting Expectations and Bylaws Objectives:
  • Assist the RP Band program and directors
  • Promote enthusiasm and commitment to band among students, parents, school board and communities
• Support instrumental music education throughout the district
• To raise funds to finance or partially finance activities related to music education

 
Business Reports: 

• The minutes from the April 10, 2018  meeting were reviewed.

A motion to approve the minutes was made by Melissa Hogan, seconded by Kellie Norton; the motion carried.
 
Treasurer’s  Report: Allison Bruflat

• We currently have $38,573.40; approximately $27K is student ledgers.
• Allison suggested we delete freshmen who quit; Mr. Wilson said no students have ever rejoined after quitting.
• Allison suggested we charge $20 uniform cleaning fee up front; then school reimburses Mr. Wilson later in the year. A motion was made by Kellie Norton, seconded by Melissa Hogan; the motion carried.

 
Director’s Report: Mr. Houston and Mr. Wilson

• Percussion concert on 5/9; cost is $5. Money raised will be for percussion equipment.
• Band concert/awards/senior video/2018 show on 5/10
• State solo/ensemble used a “Gold, Silver, Bronze” system this year. Medals cost $4 ea, so budget may have to be increased to accommodate.
• Mr. Wilson requested $500 to cover the Columbia trip; he has receipts.

 
Committee Reports:
 
Fundraising - Kellie Norton

• Trash Bags: $2550 sold
• Live Auction, Car Show
  • Rescheduled – August 4, 2018
• Kellie, Gina, Melissa, Kelli, Libby, Trina, Brent,  will all help; a lot of parent help is needed
• Mr Houston will organize the car show
• Spring Plant Sale: 5/5/2018 at Bethlehem Lutheran Church; final sales not yet in, but it was at least as successful as last year.

Old Business

• Chuck Wagon Chair – Tricia Kelly and Angela Weiss
  • Tricia has reached out to around a dozen (not local) vendors, may have substantial donations for next season.
  • Allison suggested that donations be coordinated through the board to ensure we do not make multiple requests to the same vendor(s).
• Uniforms: Jen Inman, Lynette Grant, and Tamarah Pritchard
• Winterguard as part of Band Boosters – Alyssa Clark
  • If not state sponsored, kids get $3 per meal; this is 3 of 5 competitions
  • If state sponsored; $21 per day
  • No money for choreography
  • The winter guard is $700 in the red
  • They need a new floor $1000
  • They need a gym to conduct practices
  • Currently $2000 in debt, mostly due to delinquent fees
  • Directors will coordinate schedules to de-conflict Jazz and bandDistrict competitions with winter guard events.
  • Alyssa will charge a $150 camp fee.
  • Uniforms are in design at this time and will be ordered soon.
  • Fees will be managed in Charms
  • Guard will use booster’s 501-3(c)
  • Diana Edgecomb and Alyssa Clark will create a proposed budget to discuss next meeting; and guard parents will be invited to next booster meeting

 
 
New Business
Elections were held via written ballot.

  • Faye Tait and Diana Edgecomb, co-Treasurers

 
 
The meeting adjourned at 8:07pm.  Next meeting will be June 11, 2018 at 7pm in High School Band Room.
