 MINUTES OF THE BOARD OF THE
RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC
June 15, 2021

The regular meeting of the Raymore-Peculiar Band Boosters Club was held in person in Band room. Those in attendance were: Libby Craig, Catie Howlett, Tara Spencer, Jennifer Story, Jennifer Gibson, Jennifer Scrivener, Marian Pfeiler, Seina Pfeiler, Walter Burr, Rachael Burr, Victoria Wendt, Shane Wendt

The meeting was called to order by Catie 7:03pm

• Introductions
  
• Meeting Expectations and Bylaws Objectives:
  
  • Assist the RP Band program and directors
    
  • Promote enthusiasm and commitment to band among students, parents, school board and communities
    
• Support instrumental music education throughout the district
  
• To raise funds to finance or partially finance activities related to music education
  

Business Reports:  

• Motion to approve May minutes by Jennifer Story, seconded by Jennifer Gibson-approved
  

Treasurer  Report: Tara

• Still need to find a treasurer for next year
  
• Past Due Fees-$6059.90 still owed from 2019/20 & 2020/21 school years. ⅔ from 2019/20 school year= $3439.80 can we consider this “bad debt” to be able to write it off without having to use the benevolent fund? Motion made  by Tara and seconded by Jennifer Story and approved to write off the bad debt from the 2019/2020 school year. 
  
• Seniors were sent letters asking what to do with credits-either sibling or benevolent fund. There is approximately $2000 in senior credits.
  
• September 25, 2021 all fees must be current. 3 payment dates.  Parents need a plan if they can’t make the dates and can apply to the benevolent fund- this application is between the student and director, then treasurer will apply the funds approved.
  

Committee Reports: each officer will now have a subcommittee to increase communication.
Color Guard- Kymbre Ressler new coach

• 20 girls
  

 Fundraising -Jennifer

• Trash bags-start selling during band camp
  
• Mums- raise price to have $10 profit-sell for $25-start of band camp
  
• Football Programs-Jennifer Scrivener able to lead again-got bids from Alpine
  
  • 4 books-Senior, Homecoming, Cancer Awareness, other Home game-inside balck and white with 8 pg changeouts in color
    
  • 52 pg book $3700-$8700 on demand, 36 pg book $2990
    
  • Motion made for 4 books with different inserts was approved
    
• Shivers-Aug 6 & 12 around lunch
  

Field Crew/Band Dads-- 

• Brent Riegert willing to help, but will need a head band dad.
  
• Trey willing to drive “Shirley”
  

Uniforms – Lisa and Melissa

• Only 16 left to fit
  

Concert Wear- 

• Concert band-may be doing something different this year
  

Chuckwagon (hospitality)–Tricia Kelley

• Tricia will be planning everything, but can’t be at every competition.
  
• Volunteers and families-need to pay ahead of time to be able to eat with the band
  
• Would Sign up genius be the best way to track who prepaid for meals?
  
• Background checks are required- Dinah Covey has list of completed background checks
  

Director’s Report: Jennifer Gibson

• Gold Medalists from solos and ensembles will be recognized at School Board Meetings on June 24 and July 22 at the beginning of the meeting, Picture will be taken and then you can leave.
  
• Marching Band Pictures will be Aug 10 at 8am for everybody
  
• Needs a check made out to RayPec HS for the leadership seminar for the sum of $1000
  
• Color Guard side of the storage area upstairs cleaned out by Kymbr and Ms. Gibson
  
• Mr. Miller approved purchasing 7 new uniforms
  
• Marching Band dates- July 26-color guard and drumline, Aug 2-everyone, Aug 6 & 12 Shivers truck
  
• Marching Band Season is going full speed ahead.  We will need a truck to drive the white trailer, a truck to drive a flatbed trailer, flatbed trailer, four wheeler/side by side, golf cart, parents to build props (contact Mr. Jarrett), lots of volunteers to move props at each event, serve food, help with uniforms.
  
• 1st performance will be Aug 27
  
• Mr. Jarrett is designing the scrims
  
• There will be an extensive amount of props
  
• Need a sign up genius to get volunteers
  
• Drum Majors conference last Friday and Saturday went well- worked on conducting and leadership.
  
• 28 kids for 2 day leadership camp from Ray-Pec, Belton and Lees Summit North- feeding them pizza ans subs

  • Treasurer- Kathy Haneberg- Cat Campbell still willing to assist.-Kathy had to withdraw due to a conflict of interest with her employment. Looking for a new candidate. Seina Pfeiler says her mother would be good since she is an accountant.  Marian Pfeiler is going to consider it and talk with her husband before accepting the nomination.
