MINUTES OF THE BOARD OF THE
RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC.
April 10, 2018
 
The regular meeting of the Raymore-Peculiar Band Boosters Club was held in the HS Band room.  Those in attendance were: Dana Wilhite, Allison Bruflat Julie Adolphson, Kellie Norton, Melissa Hogan, John Wilson, Travis Houston, Gina Riegart, Faye Tait, Brent Reigart, Catie Houlets, Trina Westhues,  Sally Fagan, Trey Scott, Kelli Hurley, David Edgecomb, Diana Edgecomb, Tamarah Pritchard, Libby Craig.
 
The meeting was called to order by President Dana Wilhite at 7:00 p.m. 

• Introductions
• Meeting Expectations and Bylaws Objectives:
  • Assist the RP Band program and directors
  • Promote enthusiasm and commitment to band among students, parents, school board and communities
• Support instrumental music education throughout the district
• To raise funds to finance or partially finance activities related to music education

 
Business Reports: 

• The minutes from the March 13, 2018  meeting were reviewed.
• A motion to approve the minutes was made by Kellie Norton, seconded by Dana Wilhite; the motion carried.

 
Treasurer’s  Report: Allison Bruflat

• We currently have $37,243.15
• Outstanding transactions not included in the above include Penske (Chicago rental), Candy sales, and other Chicago expenses
  • $5.3K for meals

 
Director’s Report: Mr. Houston and Mr. Wilson

• Chicago Trip was fantastic despite only one elevator at Hancock building
  • Weekly Newsletter: “The Chicago trip was one of the highlights of my career.  From a judge shouting bravo at the end of Wind Ensemble; a judge telling another judge if that is their 2nd band, I can't wait to hear their top group; I would put your group in the top 1/10 of 1% of all bands in America.”
• Large Group at Paseo, 4/6 was phenomenal; both bands received a “1” rating

• Solo and Ensemble 33 solos/ensembles will be going to University of Missouri on 4/26/18:
  • Will need 1 marimba
  • Students can ride home with parents; parking is difficult
• Jazz Band did great this year!
• Auditions for next year are almost finished
• Panels in the band room are not turned the right way and are not the right size
  • Prof Parisi unable to help band prepare for competition
  • School administration says a fix in “long range” plans
  • Most competitive arts programs in the region have much better performance facilities; eg, Belton will have a new center soon; we may ask if we can use Belton’s facility
• Marching Show, 2018:
  • May be copyright expenses
  • Need to have decision for the drill writer by end  of April
• Sponsorships?  “Friends of the Band?”
  • Reserve center section seating; name(s) in programs?
  • Charge for shows?

 

• If so, would need to clearly market; money would pay for new equipment (percussion)

• Next year we may need to have two high school concerts so we could have them in the auditorium

 
Committee Reports:
Fundraising - Kellie Norton

• Candy Bars – This was a success; some students need to turn in money.
• Trash Bags –
  • We will sell them through April, they will be delivered
  • Pick up will be May 8, before band booster meeting
• Live Auction, Car Show
  • Rescheduled – Maybe August 4, 2018
• Kellie, Gina, Melissa, Kelli, Libby, Trina, Brent,  will all help; a lot of parent help is needed
• Mr Houston will organize the car show
• Concession stand was requested but denied; Mr. Wilson will re-visit
• Spring Plant Sale: 5/5/2018 at Bethlehem Lutheran Church; need 4 more people to help
• We need a new Fund Raising Chair

 
Old Business

• Chuck Wagon Chair – Tricia Kelly and Angela Weiss
• Uniforms: Jen Inman, Lynette Grant, and Tamarah Pritchard
• Board Members:
  • Trina Westhues, President
  • Melissa Hogan, Vice President
  • Libby Craig, Secretary
  • Faye Tait and Diana Edgecomb, co-Treasurers
• Winterguard as part of Band Boosters
  • If not state sponsored, kids get $3 per meal; this is 3 of 5 competitions
  • If state sponsored; $21 per day
  • No money for choreography
  • Directors will speak with drill writer
  • The winter guard is $700 in the red
  • They need a new floor $1000
  • They need a gym to conduct practices
  • Mr Wilson will speak with Athletic Director to discuss
    • Should they be in athletic boosters? Band? Something else?
    • They pay $50 activity fee

 
New Business

• 8th Grade recruiting; flyers need to be delivered to Mr. Jarrett and Ms. Gibson
• Boosters to meet with middle school families at concerts 5/14 and 5/15
• Need more money in budget for trailer, Charms renewal, medals

 
The meeting adjourned at 8:14pm Next meeting: May 8, 2018, at 7pm, RPHS Band Room.
