​MINUTES OF THE BOARD OF THE
RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC.
March 14, 2017
 
The regular meeting of the Raymore-Peculiar Band Boosters Club was held in the band room of the South Raymore-Peculiar High School building.  Those in attendance were: Dana Wilhite,  Elizabeth Craig, Melissa Hogan, Allison Bruflat, Tracy Caskey, Julie Adolphson, Scott Bradley, Sherry Dubois, Kellie Norton, Jennifer Scrivener, Sandi Williams, Lynette Grant,  Penny Scott,Travis Houston, John Wilson
 
The meeting was called to order by President Allison Bruflat at 7:00 p.m.
 

• Introductions
• Objectives of the Bylaws:
  • Assist the RP Band program and directors
  • Promote enthusiasm and commitment to band among students, parents, school board and communities
  • Support instrumental music education throughout the district
  • To raise funds to finance or partially finance activities related to music education
• Respect and consideration for our time and work

 
Meeting Minutes Approval: 

• The minutes from the February 2017 meeting were reviewed; One CORRECTION: Under this item, during the February meeting, the January 2017 minutes were reviewed, not the November 2016 minutes.
• A motion to approve the minutes was made by Kellie Norton, seconded by Tracy Caskey; the motion carried. The correction was added on 3/20/2017.

 
Treasurer’s Report:  Tracy Caskey

• Tracy distributed transactions (2/01/2017 – 3/13/2017); General fund currently has $20,924.69
• Band Fees still owed: $2,971.56
• A motion to accept the treasurer’s report was made by Kellie Norton, seconded by Melissa Hogan; the motion carried.
• Setting fees for next year: Mr. Wilson said that should be done in April.

 
Committee Reports:
Bylaws The bylaws will not be updated this year.
 
Chuckwagon Scott Bradley for Angela Weiss

• Large Ensemble needs lunch and dinner for 3/24 competition. Lunch will be served at school at 1130am. Scott Bradley is in charge. Pizza will be served at Paseo. Extra water is needed, also.

Fall Football Programs Jennifer Scrivener

• 3 games in August; Senior night will be 8/18.
• Pictures (including banners) were discussed and will be during band camp (first 2 weeks of August). Banners need to be placed early to get good spots.
• 5 games confirmed. The current bid is $3,900. A motion was made to accept this bid by Kellie Norton, seconded by Sherry Dubois; motion carried.

Father/Daughter Dance Sherry Dubois and Melissa Hogan

• Trunk or Treat, make them announcement (Beauty and the Beast).

Field Crew/Band Dads

• We will need the trailer for large group.
• Need to know what props are needed for next year.

 
Big Daddy’s Donuts  Allison Bruflat

• Scheduled for 3/24/2017 (Friday); can call the day before.

Mattress Sale

• April 23, 2017 at RPHS South Building
• Need 1 janitor all day
• Selling two mattresses pays band fees

Plant Sale Dana Wilhite

• May 6, 2017
• Bethlehem Lutheran Church?  Libby or Debbie Elrod to check
• Not sure about pre-orders
• Need Volunteers, 8am – 3pm

Trash Bags

• Kim Roberts said she would organize
• Kellie Norton and Scott Bradley can help
• Delivery could be 5/9 or 5/10
• We may postpone this until next year

5K Run/Walk

• Date changed to Saturday 11/25
• Kids organizing (Zoe Shriner), getting sponsors
• Website designing, would like to launch on 4/1.
• Need approval to use Wufoo for $30/8 months. Motion made by John Wilson, seconded by Kellie Norton; motion carried.

Band Uniforms: Tracy Caskey for Jen Inman

• Jen and Amber McVay prepared all the marching uniforms for cleaners.
• Will need help with fittings at band camp.

Spirit Wear: Sherry Dubois

• We need to do this earlier
• Backpacks were popular with color guard, should expand.

 
Old Business:
Elections for 2017-18 School Year

• Positions: President, Vice-President, Secretary (Julie Adolphson to continue for one more year), Treasurer
• Committees needed?

 
New Business:
Band Extraveganza Allison Bruflat and Kellie Norton

• .Dinner will be included.
• 50/50 Raffle
• Assigned seating
• Other activities discussed: Baskets; Pie in Face; will discuss more.

Color Guard Report  Sandi Williams

• Winter Guard earned third place at last competition

• The scrims were well received
• Two more competitions; championship is April 1.

Director’s Report: Mr. Houston:

• Percussion Ensemble Mon and Fri after school
• Graceland University (Lamoni, IA), 22 students from MS and HS, leaving 7:30am on 3/28; back around 9:30pm. Bus fee paid by school
• Need food for breakfast and dinner (Subway?); Students paid $30

Mr. Wilson:

• Jazz season is over; the bands did an outstanding job; many great comments about all the bands!

• Lynn Lewellyn, retired professional pianist will accompany 20 students at solo/ensemble in Grain Valley on 3/18. Busses leave at 6:30am, return 6pm. Parents may transport kids
• Mr. Wilson requested a motion to pay Ms. Lewellyn an additional $500 for State competition; Kellie Norton motioned, Melissa Hogan seconded; the motion carried.
• Wind and Brass Ensembles forming Tue/Thu (wind); Wed/Fri (brass) at 6:30am
• Wind Symphony to perform April 13 at NW MO State University; Grandview Jazz 4/29, but that is prom so may not attend
• Large Ensemble 3/24 at Paseo
• Next year will be block schedule
• Looking at trip possibilities; Dallas? Chicago?

 
 
Meeting adjourned at 8:08 p.m.  Next meeting 3/14/2017 at 7pm in HS Band room.
