MINUTES OF THE BOARD OF
RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC. January 12, 2016 The regular meeting of the Raymore-Peculiar Band Boosters Club was held on January 12, 2016 in the band room in the South Raymore-Peculiar High School building. Those is attendance were: Kim Sickler, Jo Prickett, Robert Hacker, Angela Weis, Melissa Hogan, Kim Roberts, Julie Godsey, Kellie Norton, Debbie Elrod, Dana Wilhite, Tracy Caskey, John Wilson, Dillon Jarrett and Jennifer Gibson. The meeting was called to order at 7:05 p.m. The meeting minutes from the December 8, 2015 meeting were reviewed. Tracy Caskey made a motion to approve the minutes and Dana Wilhite seconded. The meeting minutes were approved. Director’s Report: John Wilson solos and ensembles: *most solos and ensembles have been passed out; some have been ordered *students need to start practicing *75 solos have been assigned; we can only take 60 solos *solos will be selected on February 4th and 5th All-District Band: *Friday and Saturday at UCM *students were great All-State Band: *Will Dickerson will participate at Tan-Tar-A 1/27-1/30 Jazz Band: *check calendar on website for most current information *2/20 UCM Jazz Festival *2/25 HS/MS Jazz at Flex *2/26 NWMSU Jazz Festival *2/27 Blue Springs Band Festival *3/4 Pitt State Jazz Festival *3/5 Jazzin’ at Gem Theatre upcoming band events: *check calendar on website for most current information *3/3 pre-contest solos/ensembles *3/11 State large group at Paseo *3/14 Wind Ensemble with UMKC concert (First Baptist Church in Raytown) *3/19 District solos and ensembles at Grain Valley *mid-February through March will be a busy time thank you: *Jennifer Gibson said thank you to Chris Wilhite for coordinating equipment moves in December *thank you to Chris Wilhite and Mr. Hacker for fixing shed damage practice calendar: *summer band camp will be the last 2 weeks of July and every Thursday night after that *there will not be a summer weekend band activity this year competitions for next year: *will attend competitions that have 6 panel judge systems only next year *will not attend UCM competition next year *will attend Broken Arrow or St. Louis next year band trip *next big band trip will be in three years Communication Report: Dillon Jarrett no report President’s Report/Fundraising: Kellie Norton band fees: *looking into requiring a band deposit at the parent meeting next year *Tracy will be working on band fees collection volunteer recruitment: *band parents need to work together as a team to help the students *if anyone has any suggestions for team building ideas, please email or call Kellie Norton *may need to provide an incentive for people to volunteer *other bands have volunteer hour requirements or parents pay a fee fundraisers: mattress sale: *March 12th if approval is received to hold the sale at Eagle Glen Father-Daughter Dance: *need volunteers Committee for 2016-2017 Board: *a committee will be set up soon Band Extravaganza Committee: *a committee will need to be set-up for this also Vice President’s Report: Dana Wilhite *Chris Wilhite got the smaller trailer moved for the Father-Daughter Dance Committee Treasurer’s Report: Tracy Caskey update: *Tracy provided a monthly statement *everything is paid to date *collection efforts for band fees will be started mileage reimbursement: *Kim Sickler asked if mileage would be paid for necessity vehicles during marching band *Kellie Norton made a motion to pay mileage for necessity vehicles at the standard rate; the motion was seconded by Melissa Hogan *others (including John Bruflat) would also be eligible for mileage reimbursement for driving the truck during marching band season; would need to submit receipts Uniform Chairperson Report: Jo Prickett uniform cleaning: *will wait until the end of school to send uniforms to the cleaner *may be able to get a discount if the marching band uniforms and tuxes/dresses are sent in at the same time *the band uses Hangers Cleaners in Martin City uniform inventory: *will do uniform inventory next week Hospitality Chairperson Report: Kim Sickler upcoming events: *cake in May *food for large ensemble *pizza at State Head Band Dad Chairperson: Chris Wilhite –not in attendance projects: *Mr. Hacker reported they have set a date to make coat racks for the dance *will look at shed repairs in the spring *Tracy Caskey said there was extra pipe for coat racks that was donated by her family last year Father-Daughter Dance: Julie Godsey *plans are coming along *not a lot of student volunteers *flier will be sent home to 8th grade students; fliers have been copied and are ready to send out * information will be put in the newsletter *information will be put on Sign-Up Genius again *Mr. Jarrett will put the flier on the website *this will be a student fundraiser and a band booster fundraiser ($2 per ticket) New Business: lettering: *band directors will look at revising the band lettering policy *an idea may be to have two ways to letter in band; one letter for marching band; one for the rest of the year *may have a band banquet at the end of marching season *band directors are open to hear ideas about lettering; please contact them with your ideas *changes made would be effective for the next school year *check the band website for the current lettering requirements for band *need to also review the lettering criteria for color guard *pins or patches are an idea *point system may also be a possibility *service hour requirement is also a possibility *want to reward students for hard work but also want the letter to have meaning A motion was made to adjourn the meeting at 7:55 p.m. by John Wilson and seconded by Kellie Norton.
