​MINUTES OF THE BOARD OF THE RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC.
TUESDAY, SEPTEMBER 12, 2023


The regular meeting of the Raymore-Peculiar Band Boosters Club was held in the band room. Those in attendance were Isabella Kelch, Peggy Kelch, Libby Craig, Jonah Craig, Jenna Craig, Jill Clingan, Susan McCamish, Michelle Houston, Holly Nall, Erin Butterworth, Crystal Courtney, LeeAnne Thompson, Marian Pfeiler, Seina Pfeiler, Anessa Pfeiler, Michelle Helzer, Shelley Vessa, Damien Musfelt, Vada Musfelt, Sam Musfelt, Jacob Thompson, Tanya Moody, Jason Heuwinkel, Ciann Courtney, Bobbi Bond, Briana Henzel
 
The meeting was called to order at 7:05 p.m. by Libby Craig. Marian Pfeiler motioned to approve and Michelle Houston seconded the motion.
 
Band Dads: Jason Heuwinkel

• Thursday, 9/14, is the deadline to get the props done.
• We need to find out from Trey if will drive and, if so, to which competitions.
• There is a lot of equipment to load, so we need extra parent help.

 
Director’s Report: Jennifer Byrne

• The parade is on Saturday. The band room opens at 7:30 a.m. Students should wear full uniforms with hats and plumes. We need to make sure we have water for students at the beginning of the parade. Students can bring candy.
• On Friday, 9/29, we will have a Marching Band Cornhole Tourney and fajitas catered by Riley’s parents from 6-8 p.m. We need cornhole boards and bean bags the week of the 25th.
• Friday, 10/13, will be a late-night rehearsal because the stadium is booked on the 12th.
• We need to make sure volunteers are on the approved volunteer list.
• We could use some shade tents if families have any we could use or if they would like to buy and donate a tent.

 
Fundraising Report: Michelle Houston

• We made $106 in tips at Culver’s Night and will find out the actual amount we made later. Mums orders are due on Thursday, and pickup will be on 9/28 from 5-7 p.m. The Butter Braids sale will start on 10/13, and the mattress sale is in November. We are narrowing down themes for the Father-Daughter dance, so we will have some themes for students to vote on in the next month or so.

 
Secretary Report: Jill Clingan

• Please send Jill any information that you want communicated via Charms email.

 
Treasurer Report: Marian Pfeiler

• The bank balance is down to 45K because of equipment and props purchases. Band fees will help replenish that amount.
• We sold 150 programs on senior night and will order a little extra for homecoming. There are 13 ad invoices left to be paid.

 
Chuckwagon Report: Bobbi Bond and Susan McCamish

• We need donations for snacks and Gatorade. Hy-Vee is donating water.
• Parents volunteers can pay $20 for the marching band season to eat at the competitions.

Uniform Report: LeeAnne Thompson

• For Drummit at the Summit, students will wear yellow shirts, black shorts, and short black socks.
• LeeAnne gave Marian the number of pink gloves that need to be ordered.
• We need to add more bibbers because we do not have all the sizes we need. She is going to inventory the uniforms we have. We may be able to use general fund money, money from the father-daughter dance, or ask the school to buy them if they are expensive.
• We will start wind symphony fittings soon, and we need to order more shirts for wind symphony.

 
Color Guard Report: Kelsey Walker

• Next Tuesday, the color guard has a doubleheader of practices—they practice with the band until 4:45 and then practice again from 6-9 for the indoor show. Kelsey requested pizza to feed them in between practices.
• Kelsey knows a photographer willing to do action shots of the marching band and color guard during a Thursday night practice for $450. The band account could pay this fee, or students could pay to access the link to pictures. This would need director approval.
• K-State has a color guard camp over the summer. Kelsey is going to apply for grants for the eight juniors to go to this camp, but she would like to use the band’s 501C3 code for those funds to be delivered.
• Spirit wear sales raised $400, and Kelsey was hired by RayPec building and grounds to make tumblers. That $800 will help cover color guard expenses.
