 MINUTES OF THE BOARD OF THE
RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC
September 14, 2021

The regular meeting of the Raymore-Peculiar Band Boosters Club was held in the choir room. The meeting was called to order by Jennifer Story at 7pm Seconded by Lisa Sorge

• Introductions
  
• Meeting Expectations and Bylaws Objectives :
  
  • Assist the RP Band program and directors
    
  • Promote enthusiasm and commitment to band among students, parents, school board and communities
    
• Support instrumental music education throughout the district
  
• To raise funds to finance or partially finance activities related to music education
  

Business Reports:  

• Motion to approve minutes from August booster meetings made by Tara Spencer, seconded by Victoria Wendt. Approved
  

Director Report: Jennifer Gibson

• Marching Season is going well
  
• Class Ensembles are going well, too
  
• 1st Concert is October 4th- Concert Band and Symphonic Band at 6pm, Wind Symphony and Percussion Ensemble at 7:30pm
  
• Directors are stressing about having enough volunteers especially to move scrims and canvas frames on to the field. 10 scrims have a quote from Marie Curie, 7 canvas frames with photos on wheels
  
• Saturday September 18- Raymore Parade in the morning, Drummit at the Summit in the afternoon.  They will need snacks and water for ~21 people
  
• September 25th- Lunch & Water. 11:30am performance, elected not to perform in finals due to Homecoming. Should be back by 5pm, Homecoming starts at 8pm.
  
• Harrisonville Competition is also the day for the ACT. Test in AM, performance in the afternoon.  Students signed up for ACT should be good to do both.
  
• Concert Wear- Lisa Sorge will assist. Wind Symphony only- 61 students
  
• Concert Black for Concert Band and Symphonic Band- Black shirts and Black Pants
  

Zach-

• Final cost for barrels +$613 for paint and vinyl radioactive stickers.  In the 3rd movement they move all over the field and the kids play them along with the drumline.
  
• We need a gator
  
• Laverne (white trailer) will need service- wheels etc
  
• Trey is going to take Shirley for a spin
  

Treasurer  Report:  Marian

• Account totals ~$49,000 and $4,700
  
• Fees set up in Charms ~$40,000. ~$21,000 paid, $1300 left from last year.
  
• Prop invoice paid
  
• Extra large gloves finally shipped
  
• Debit Card- Marian and Victoria for chuckwagon
  
• Jo Hainey will post indoor concert fees at some point
  
• Trash Bags- spreadsheet in Excel
  
• Programs- quite a few sold last 2 games- we are profitable
  

Color Guard: Kymbre Ressler

• Guard is going well
  
• Started with 18 girls now 16- 1 quit, 1 injury
  
• All the flags are in
  
• Fees are in the works of getting paid
  

Fundraising: Mindy Muller

• Mums and Trashbags are done
  
• Trash Bags- ~$6000 online and paper orders
  
• Next fundraiser- Butter Braids delivery in November
  
• Spirit Wear and Crew Shirts- do they say “band”
  
• Mattress Fundraiser- November 20th
  
• Father/Daughter Dance February 5th
  
• Middle Schoolers need to know what money they have earned- send student name to Marian so she can look it up.
  
• Need to put instructions on how to access Charms on the Band Update.
  

Band Dads: Mike Oldham and Jason Heuwinkel

• going great
  
• trucks lined up for Saturday and competitions
  
• Possibly have a small trailer for chuckwagon
  
• will need more supplies when the canvases and scrims come in.
  

Uniforms:Lisa Sorge

• Going pretty well
  
• Pink glove should be able to last for this season
  
• Pink wristbands- will need more ~$14 Lisa to order and donate
  
• Kids are doing well with taking care of uniforms and getting them checked in and out
  
• Need more volunteers
  
• Final order of Bibbers has come in
  
• Plackets have arrive that will allow expansion of ~2 inches
  
• We are doing well with black socks
  

Chuckwagon: Victoria Wendt

• Water- 2 per game and have large jugs in the stands
  
• Need to have water for after the parade. Will have for them when they enter the buses.
  
• Boosters will buy candy for the parade- Marian will purchase it and bring it on Saturday
  
• 9/25- will need help with lunch
  
• Found an app called EZ Catering that helps find food and tells how much per person
  
• Ms. Gibson will get Victoria a list of dietary needs and allergies
  
• Discussion about people eating with the band- no free meals for adults including volunteers. 
  

New Business.

• Hotel for St. Louis competition- Sleep Inn and Suites in O’Fallon- $38.23 for students 4/room.  Directors will be 2/room- includes breakfast.  Has a pool, but students will not be allowed to swim.
  
• Students will need to sign up for rooms assignments- Hotel needs list between Sept 24-27
