MINUTES OF THE BOARD OF THE
RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC.
November 13, 2018

The regular meeting of the Raymore-Peculiar Band Boosters Club was held in the cafeteria at South Middle School.  Those in attendance were: Melissa Hogan, Gina Riegert, Trina Westhues, Diana Edgecomb, Kelli Hurley, Laurel Baumgardner, Fred Baumgardner, Faye Tait, Catie Howlett, Jennifer Story, Tricia Kelley, Matt Forsbeck, John Wilson, Arla Beneke, Tara Spencer, Trey Scott, Susan McCamish, Libby Craig


The meeting was called to order by President Trina Westhues at 7:03pm.

• Meeting Expectations and Bylaws Objectives:
  
  • Assist the RP Band program and directors
    
  • Promote enthusiasm and commitment to band among students, parents, school board and communities
    
• Support instrumental music education throughout the district
  
• To raise funds to finance or partially finance activities related to music education
  

Business Reports:  

• The minutes from the October 9, 2018  meeting were reviewed. Motion to approve minutes -Faye Tait, seconded Tricia Kelley
  

Treasurer’s  Report: Faye Tait and Diana Edgecomb

• Bank statements in file
  

~$24,000 of which ~$20,000 is in student accounts

• Financial Assistance- 3 students have applied. Still working with Mr.Wilson on approval
  
• Motion made to send out email stating that any fees outstanding for students with credits in their Charms account will be paid on December 1st.  Also, any financial aid will be put towards band fees before being applied to travel fees. Motion by Faye Tait Seconded by Trina Westhues- approved
  
• Motion to approve Treasurer’s report by Kelli and seconded by Melissa-approved
  

Committee Reports:

Color Guard-

• welcome to help with Polar Express fundraiser and can use funds raised for Winter Guard fees.
  

Fundraising -Kelli Hurley

• We need a Chair
  
• Nothing currently running
  
• Candy Bars- Mr. Wilson and Mr. Houston to track. 50% profit
  
• Poinsettias- Melissa Hogan checking on this has not gotten response. Kelli will check with Creekside- May be too late.
  
• MOD Pizza reached out to us. Trina will work on getting this set up.
  
• Culver’s Night- Howlett’s will check on setting up not scheduled yet.  Manager may not approve
  
• Polar Express Night- December 8- 6-9pm. There will be games, train with booths for tickets, hot chocolate, cookies and popcorn. movie in gym (Mr. Wilson asked about copyright, Tricia will check with her lawyer), reindeer food for sale, Victor Carr will be taking Santa photos. Jen Inman got permission to print flyers at school, 3500 printed. If you would like to donate items for raffle, large stuffed animals are a hit or maybe a Polar Express train set.

Theme- Boots and Bling-- Feb 2nd. facility usage approved for workdays and dance. Planning meeting will be December 1st

• LulaRoe Fundraiser during October 23rd concert successful, waiting for check from LulaRoe.
  

Field Crew/Band Dads-Brent Riegert -Head Band Dad

• Hauled all props to Shull.
  
• Winter Guard props from last year are outside of band doors, may be used for Polar Express

• everyone looked good for October concert

• Right on budget
  

Director’s Report:

• End of marching season.  Need more guard for scores to improve. Music scores are high.
  
• Winter Guard is going on- Only 9 members
  
• Concert was fantastic
  
• 54 students made All District Honor or Honorable Mention Bands. All State auditions will be December 1st in Columbia MO. Will need to at least take the marimba.
  
• Jazz Bands have started- still working on rehearsal schedule
  
• KCPL suing the school district from the incident 4 years ago when the truck driver took out the power lines between the church and high school
  
• Winter Concert December 17th. May do 2 concerts 6pm and 7:30pm
  
• Trip to Nashville, possibly Dollywood. ~$750 per person. Going through World Strides instead of Gateway. Trip payment information being sent out soon. Dates 3/28-4/1
  
• If you send a payment to the school instead of through the band boosters, it doesn’t get applied to band stuff. It ends up in Mr. Wilson’s activity fund. Unable to get funds redirected.
  

New Business

• Football programs- We really need to find someone or multiple people to take this over from Jennifer Scrivener.  Multi Level Sponsorships
  
• Trey/Caron/Cheyanna Scott donated ~$1800 to cover the rental fees for the semi truck
  
• Canopies- Thanks Kelli Hurley the canopies look amazing!

All-State Band Tryouts
December 1 at Columbia Hickman High School.
We will leave school at 6:30 A.M.
Students need money for multiple meals.
Students may wear school clothes.
Auditions are blind.
Most sections have call backs. So, students may not leave until call backs are posted.
Once callbacks have been posted students are free to leave with their parents. If a student wants to ride home with someone other than their parents; please contact [email protected]
Students should bring cards, games, etc.so they don’t get bored waiting.We cannot return to Ray-Pec until all the sections have announced the All-State Band Members or no one left that made call backs.  My guess is that we will be home sometime after 8:00 P.M. to 10:00 P.M.

WINTER CONCERT
Winter Concert is December 17th in the Auditorium. We will play 2 concerts. One concert will start at 6:00 P.M. The other concert will start at 7:30 P.M. We will have a ticket system. All Bands will play at both concerts.
Fundraising Info.
Candy Bars are gone. We will look to do this fundraiser again after the first of the year.
Misinformation was given. There are 52 candy bars in a box and not fifty. Please write a check for $52. PLEASE DON’T BRING US CASH.  Make checks payable to RP Band Boosters.

The mattress sale in January 27th at RP High School Gym. Students make $125 or more for every full size bed or bigger sold. We have sold up to 50 mattresses in a day. This is an easy fundraiser. Many people you know are looking for a mattress. You just have to get the word out about our fundraiser.

On January 8, at 7:00 P.M. please attend the Nashville Trip meeting in the auditorium. We will go over important information and kick off the mattress fund raiser.

ALL-DISTRICT BAND INFORMATION
January 4 and 5 is All-District Band practices and performances.
We will leave school around 4:00 P.M. Spend the night in Warrensburg at the Days Inn. Saturday’s concert starts at 3:00 P.M. in Hendricks Hall at UCM. Most students ride home with their parents after the concert. Only money needed will be for supper Friday night.
