​MINUTES OF THE BOARD OF THE
RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC.
May 9, 2017
 
The regular meeting of the Raymore-Peculiar Band Boosters Club was held in the band room of the South Raymore-Peculiar High School building.  Those in attendance were: Dana Wilhite, Libby Craig, Allison Bruflat, Julie Adolphson, Kellie Norton, John Wilson, John Bruflat, Jennifer Gibson, Angela Weis, Steve Weis, Dan Dorweiler, Aaron Howlett, Catie Howlett Dillon Jarrett, Jennifer Scrivener.
 
The meeting was called to order by President Allison Bruflat at 6:03 p.m.
 

• Introductions
• Objectives of the Bylaws:
  • Assist the RP Band program and directors
  • Promote enthusiasm and commitment to band among students, parents, school board and communities
  • Support instrumental music education throughout the district
  • To raise funds to finance or partially finance activities related to music education
• Respect and consideration for our time and work

 
Meeting Minutes Approval: 

• The minutes from the April 2017 meeting were reviewed.
• A motion to approve the minutes was made by Kellie Norton, seconded by Libby Craig; the motion carried.

 
Treasurer’s Report:  Allison Bruflat for Tracy Caskey

• Allison distributed transactions (2/28/2017 – 4/10/2017); General fund currently has $25,686.98
• Band Fees still owed: $2,692,21
• Working on senior accounts which if they have fund raising money, will be converted to benevolent; if they include personal funds, will be returned. In either case, if there is a sibling that is going to be in band next year, the money can be transferred to sibling account
• A motion to accept the treasurer’s report was made by Kellie Norton, seconded by Libby Craig; the motion carried.
• Fees: For concert bands: around $150; marching band: around $255.  These costs may change and include optional/contingent fees such as using a school-owned instrument, and marching shoes. It does not included the annual school activity fee (usually $50.00). Deposit of $75.00 is due by May 19.

 
Committee Reports:
 
Bylaws The bylaws will not be updated this year.
 
Band Extraveganza Allison Bruflat and Kellie Norton

• Food was good
• Assigned seating; some good aspects noted, and some lessons learned
• Raffle for KC Royals tickets/parking raised $280; Julie sent thank-you to donor (Kellie’s boss)

Chuckwagon Angela Weiss

• Last day of camp, may be Friday of first week we will have pizza
• Cake and punch for Awards Night (5/16) has been ordered
• Kona Ice truck, Allison will arrange, usually both Fridays

 
Fall Football Programs Jennifer Scrivener

• Senior night 9/1
• Pictures usually done at band camp, which is first two weeks of August; need to have uniforms fit before that
• Advertising will be same price
• Need volunteers to help sell; should be leader at each of the five games

Father/Daughter Dance Sherry Dubois and Melissa Hogan

• Trunk or Treat, make them announcement (Beauty and the Beast).

Field Crew/Band Dads  John Bruflat and Dan Dorweiler

• Discussed storing uniforms; don’t want to keep them on trailer in summer
• We could move the racks to a TBD location, but they are wide/long so would need an extra wide (double) door entryway
• Long rack is 13ft x 3ft 2in x 5ft 8in; Short rack is 11ft x 3ft 2in x 5ft 8in

Mattress Sale

• April 23, 2017 at RPHS South Building
• Was the best turn out yet; $6500
• Planning to have it next year (January 2018)

Plant Sale Dana Wilhite

• May 6, 2017
• Bethlehem Lutheran Church (across from Price Chopper in Raymore)
• Profits were down a little from last year; still around $1500

Trash Bags Kellie Norton and Scott Bradley

• Delivery 5/10; 4-7pm
• Kids sold 769 rolls; $2577

5K Run/Walk

• Saturday 11/25
• Kids organizing (Zoe Shriner)
• Have course mapped out
• Website designed

Band Uniforms: Allison Bruflat for Jen Inman

• Uniforms organized to go to cleaners the week of 5/15
• Will need help with fittings at band camp.

Spirit Wear: Allison Bruflat for Sherry Dubois

• Backpacks were popular with color guard, should expand.
• Need to order earlier this year

Color Guard Report  Mr. Wilson

• Tryouts complete; 22 guard with 2 JV

• Still working on hiring paid position for next season; Mr Wilson to talk with Coach Kruse

 
Director’s Report: Mr Wilson

• Chicago Itinerary using Gateway (same company as Hawaii trip).
• March 22-26; cost $674 (3 per room) to $824 (1 per room); should have around 6 or 7 months to save, around $100 per month
• We will have extra fundraising for this trip
• Blue Man Group performance
• Participate in Heritage Festival
• Medival Times; Shedd Aquarium, Millennium Park; 360Chicago Observation Deck, and more
• State Solo and Ensemble; 4/28; 25 solos/ensembles; we had 14 “1” ratings and 10 “2” ratings; one student unable to attend
• Will not participate in State Large Group during Spring Break again
• Some students will receive invitation to European “Ambassadors” trip
• Next year Extravaganza will be held per each school allows directors to recognize/award specific students; Sunday afternoon 2/11/2018
• Omaha trip also approved; need to look into hotels (Kellie will research)

 
Meeting adjourned at 6:40 p.m.  Next meeting (elections) 6/13/2017 at 7pm, location TBD due to construction
