​MINUTES OF THE BOARD OF THE
RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC.
June 13, 2017
 
The regular meeting of the Raymore-Peculiar Band Boosters Club was held at Allison and John Bruflat’s home, due to construction at RPHS.  Those in attendance were: Dana Wilhite, Allison Bruflat, Julie Adolphson, Kellie Norton, John Wilson, John Bruflat, Dillon Jarrett, Jennifer Scrivener Sherry Dubois, Travis Houston, Melissa Hogan, Jen Inman, Amanda McVay, Tracy Caskey
 
The meeting was called to order by President Allison Bruflat at 7:03 p.m.
 

• Introductions
• Objectives of the Bylaws:
  • Assist the RP Band program and directors
  • Promote enthusiasm and commitment to band among students, parents, school board and communities
  • Support instrumental music education throughout the district
  • To raise funds to finance or partially finance activities related to music education
• Respect and consideration for our time and work

 
Meeting Minutes Approval: 

• The minutes from the May 9, 2017 meeting were reviewed.
• A motion to approve the minutes was made by Amanda McVay, seconded by Kellie Norton; the motion carried.

 
Treasurer’s Report: Tracy Caskey

• Transactions (5/01/2017 – 6/12/2017); General fund currently has $23,855.90
• Band Fees still owed: $2,441.70
• Senior accounts ended with $533 unpaid; $387 left by graduating seniors
• Auditors to be contracted (Brown) to check books through 6/30.
• From Allison’s 6/16 email:
  • I will get with Tracy to see what we need to do to copy over last year's and then update with some additional line items that I made note of Tuesday like sound system clip on mics, drum major camp, awards, and copywriting fees. 
• Motion to accept the treasurer’s report was made by Kellie Norton, seconded by Amanda McVay; the motion carried.
• From Allison’s 6/16 email:
  • Budget--I will get with Tracy to see what we need to do to copy over last year's and then update with some additional line items that I made note of Tuesday like sound system clip on mics, drum major camp, awards, and copywriting fees.  Anything else?

 

• And, CHARMS...  I need to:  (with Tracy!)
• 1) Update students--who is in what class and who is marching/color guard
• 2) Update fees for next year--what are we charging per class/gender and marching/color guard
• 3) Review how many years back it goes and what we do to keep at least two years easily visible.  I also need to learn how to see back further in case some one asks.
• 4) End 2016-2017 year
• 5) Be ready for registration to show Charms and take fees
• 6) Start sending emails to parents to be sure everyone is comfortable with summer plans and fees!

 
Committee Reports:
 
Field Crew/Band Dads  John Bruflat and Dan Dorweiler

• Need another set of keys made. Current key holders include, Dillon Jarett, Travis Houston, Melissa Hogan (excluding semi trailer), John Bruflat, Chris Wilhite, John Wilson.
• Need to more “fronts” for marching show this year
• Need to make “Roman Columns”
• Semi trailer needs to be picked up by TransWest and inspected
• Drivers:  Mr. Wilson will talk with Trent and Mr. Glass
• Melissa will talk with Penske about rental; try to avoid charges for extra day when cab dropped off late at night
• From Allison’s email on 6/16:
  • John B. will talk to Heartland Tractor and confirm use for the weekends of Sept. 30 through October 21 plus Tuesday Oct. 10th.  He'll also be sure we get an updated ad for the Football programs.  Can Chris talk to Angie or some one about Robert's keys?  I also have a note that we need Shirley picked up for maintenance, Dana did you put that on Chris's to-do list?  I wrote that John W. would talk to Trent about driving or the Glass family if needed.  When fronts and column work is needed you are welcome to do that here in John B's shop.  Everyone be on the lookout for a couple trailer pulling, truck driving families.

Uniforms Jennifer Inman

• Kellie gave Jen a steamer
• Uniforms are at the cleaner
• Need to be delivered the first day of band camp (8/1). Do not know where they will be stored
• Fittings will be first week of band camp
  • Students need to bring shoe order in so they can get ordered as soon as possible
  • Will use sign-up genius to get help with fitting
• Would like to fit tuxes/dresses at the same time this year

Chuckwagon

• From Allison’s 6/16 email and the June Booster meeting:
  • email sent to Angie about pizza lunch Aug. 14th and Family picnic set for August 15th.  Kona Ice is good to go noon on the 4th and 11th. 

Fall Football Programs Jennifer Scrivener

• Senior night 9/1; homecoming on 9/22. Five home games.
• Pictures usually done at band camp, which is first two weeks of August; need to have uniforms fit before that
• Advertising will be same price; forms will be available at registration and through website/email
• Need volunteers to help sell; should be leader at each of the five games
• From Allison’s 6/16 email:
  • Sent my 4 pages from last year to Dana.  We'll need 6 this year with the additional home game.  If you have ideas on what we could include on the band pages, let her know!  I sent the ad information to Ms. Stidham for the RP Update.  Are there other places we can share that?  I'll put it on social media soon.

Spirit Wear: Sherry Dubois

• Will start orders 8/1
• Mr. Wilson has a catalog that he will share

 
Old Business:

• Charms training for Allison; still planning on going
  • $350 in St Louis
  • Students will be introduced or be able to review at registration (8/2 and 8/8)
  • Motion made to send Allison by Kellie Norton, seconded by Tracy Caskey: motion carried
• Budget Review
  • Need to vote in July; medals cost increasing, trailer costs also. Copyright hould only include 1 song

Fundraisers Allison Bruflat and Kellie Norton

• Need to pay fees before being allowed to go to Chicago
• Allison sent a list via email on 6/16
  • Chipotle; do we want to do this? Kellie will call them
  • Kona Ice; Allison set up for band camp
  • Trash Bags; 8/11? Allison is looking for someone to help Kellie
  • Programs; underway
  • Mums; September, Dana will check into this
  • Car Wash; Do we want to do this?  Sonic? Culvers?
  • Price Chopper, hot dogs?
  • Big Daddy’s Donuts; October
  • Game Day
  • Mattress Sale; early in 2018

  • 99-pledge; online practice, Mr. Wilson will consider this
  • Calendar Fund raiser; $10 per calendar, prizes drawing each day; Kellie will look more into this

Director’s Report: Mr Wilson/Mr Jarrett/Mr Houson

• Drum Major Camp; $350/person; in Arkansas for 4 days; 7/25-26
  • Motion made for $1050.00 (Kellie Norton), Seconded (Dana Wilhite); motion carried
• Alumni to be invited to watch band 6th-7th hour and participate in Homecoming; there will be a parade this year
• Sound system: Marching band needs 2 clip-on mics one for flute, one for oboe
  • iPads can run sound, but there is a delay when getting on field (boot up)
  • Sound board may need updating; Mr Jarrett will check into this and report next meeting
• Colorguard will practice at Peculiar Elementary
• Percussion will practice at RPEMS
  • Mr Houston would like to get a better cart to place items for pit crew
