MINUTES OF THE BOARD OF THE
RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC.
July 10, 2018

The regular meeting of the Raymore-Peculiar Band Boosters Club was held in the HS Band room.  Those in attendance were: Allison Bruflat, Melissa Hogan, Tom Hogan, John Wilson, Travis Houston, Gina Riegert, Brent Riegert, Trina Westhues, Diana Edgecomb, Libby Craig, Arla Beneke, Tricia Kelley, Kelli Hurley, Laurel Baumgardner, Fred Baumgardner, Shannon Thornhill, Bruce Richardson, Heather England, Faye Tait, Alissa Clark

Pre-meeting Presentation by Cassie of Century Resources.

• Pick 2 brochures
• Prepay or pay on delivery options
• They scan the brochures
• Orders are presorted by student. Come off the truck sorted alphabetically by class.
• Able to take credit card payments
• Webstore also available. Free shipping if buying 5 items. Direct ship to customer for  online shopping
• 40% profit except for pizza -35%
• Can do awards or no awards

The meeting was called to order by President Trina Westhues at 7:27pm.  

• Introductions
• Meeting Expectations and Bylaws Objectives:
  • Assist the RP Band program and directors
  • Promote enthusiasm and commitment to band among students, parents, school board and communities
• Support instrumental music education throughout the district
• To raise funds to finance or partially finance activities related to music education

Business Reports:  

• The minutes from the June 11, 2018  meeting were reviewed.

A motion to approve the minutes was made by Diana Edgecomb, seconded by Tricia Kelley; the motion carried.

Treasurer’s  Report: Allison Bruflat

• We currently have $39,539.95. $27,283.02 in student accounts

A motion to approve the treasurer’s report was made by Kelli Hurley and seconded by Melissa Hogan

Committee Reports:

Color Guard-Alissa Clark

• Last year started with $1247.98. Choreographer cost $2800. Paid ½ by band and ½ by color guard. Then (-$655.00). Purchased 2 silks last year ~$1000.00. Start of Winter Guard (-$4000.00)
• Color Guard is writing their own show
• Needs from the Band Boosters-- The ok to fundraise through band boosters--This is already ok.  Will need to purchase 3 silks at an approximate cost of $1860.00

Fundraising

• We need a Chair
• Trash bags-Kelli Hurley chairing, Tricia Kelley helping
• Football programs-Jennifer Scrivener-Ads pay for the program, selling is all profit ~$3000. need Mr. Steven Miller to send out senior ad info
• Mums-talk to Dana Wilhite
• Holiday poinsettias-need to book soon, call Kellie Norton.

Field Crew/Band Dads-Brent Riegert -Head Band Dad

• Load, build equipment/props for shows
  • Robotics team helping with show design-needs help with construction.
• Maintain trailers
• Get Kubota from Harrisonville

Uniforms – Jen Inman

• Closets are listing and could be a safety hazard
  • Mr. Houston has submitted a work order to secure them to the wall- still not done
• Jen needs dates of Pictures so she can schedule fittings; Mr. Wilson will talk with Jennifer Scrivener
• We will need some gloves, garment bags; senior cords. Cost quote $850-$1252. Motion was made by Diana Edgecomb and seconded by Melissa Hogan to build this into budget.

Chuckwagon – Tricia Kelley

• Planning is going well, Tricia is gathering in donations- Chick Fil-A, Jason’s Deli and others. Possible $250 donation coming in.
• She is looking into local vendors for our competitions

Spirit Wear – Diana Edgecomb

• Diana will work with Mr. Wilson to organize this year’s ordering

Family BarBQ- August 17th- Different sections to bring different items

Director’s Report: Mr. Houston and Mr. Wilson

• Need to air up tires, needs help checking water hoses
• Drum Major camp to be announced,  Newsletter coming out this weekend
• Fees will be $270 this year
• Trip info should be coming out

New Business
Budget 2018-19
Budget discussed line by line with Financial Report from 2017-18.  Budget to include $1800 for Color Guard and $1800 for Percussion as part of the Director’s Budget.
Motion to approve the budget made by Melissa Hogan and seconded by Laurel Baumgartner. Motion carries, budget approved.

The meeting adjourned  Next meeting will be August 14, 2018 at 7pm in High School Band Room.
