​MINUTES OF THE BOARD OF THE
RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC.
February 14, 2017
 
The regular meeting of the Raymore-Peculiar Band Boosters Club was held in the band room of the South Raymore-Peculiar High School building.  Those in attendance were: Dana Wilhite,  Elizabeth Craig, Melissa Hogan, Allison Bruflat, Tracy Caskey, Julie Adolphson, Angela Weis, Kendra Hacker, Scott Bradley, Kim Sickler, Jennifer Gibson, Dillon Jarrett, Travis Houston, John Wilson
 
The meeting was called to order by President Allison Bruflat at 6:58 p.m.
 

• Introductions
• Objectives of the Bylaws:
  • Assist the RP Band program and directors
  • Promote enthusiasm and commitment to band among students, parents, school board and communities
  • Support instrumental music education throughout the district
  • To raise funds to finance or partially finance activities related to music education
• Respect and consideration for our time and work

 
Meeting Minutes Approval: 

• The minutes from the November 2016 meeting were reviewed
• A motion to approve the minutes was made by Tracy Caskey, seconded by Melissa Hogan; the motion carried.

 
Treasurer’s Report:  Tracy Caskey

• Tracy distributed transactions (1/01/2017 – 2/13/2017); General fund currently has $22,885.66
• Band Fees still owed: $4,052.78
• A motion to accept the treasurer’s report was made by Julie Adolphson, seconded by Libby Craig; the motion carried.
• Setting fees for next year: Mr. Wilson said that should be done in March
• Robert Hacker Fund: Kendra Hacker presented plan to distribute funds in memory of her Father, Robert. Initial funds, $1275 will be placed in Booster’s Savings Account, and annotated in budget. Angela Weis and Mr Wilson will draft application guidelines. Kendra and her family would like the guidelines to include: Students in need of financial assistance submit an essay on the importance of band in their life; applications would be reviewed by the Hacker family, and recommendations made to Directors.

 
Committee Reports:
Bylaws The bylaws will not be updated this year. Let Allison know if you are interested in a committee to review for next year.
 
Chuckwagon Angela Weis

• Large Ensemble may need lunch and dinner for 3/24 competition. Angela will arrange but will not be attending. Other boosters will be available to serve.

Fall Football Programs Allison Bruflat for Jennifer Scrivener

• Process begins again Summer 2017
• 5 games confirmed. Bid is out for printing.

Father/Daughter Dance Sherry Dubois and Melissa Hogan

• Alice in Wonderland was a huge success
• Next year we could do a better job with parking
• Some Dads would like some slower music next year
• Theme will be “Beauty and the Beast”

Field Crew/Band Dads

• We will need 4 more front panels, and props for next year
• Planning is underway for next year, hope to have no more than 1 or 2 copyrighted songs, rest would be public domain

Big Daddy’s Donuts  Allison Bruflat

• May want to do this again on 3/24

Monopoly Game  Allison for Cyndee Byous

• May try to do next year

Trash Bags

• Pass out forms 2/21, have them back by 2/28
• Deliver on 3/7 (band concert)

Band Uniforms: Mr Wilson  for Jen Inman

• Jen planning to work a couple of days (March?)
• Not sure what the set up will be in new building; need to help with cleaning/moving

Spirit Wear: Sherry Dubois

• We need to do this earlier (band camp?)

 
Old Business:
Plans for 2017: Allison Bruflat

• Tiered Giving, Couch to Camp 5K, early fundraising for fees
• Student Involvement; Allison went to 2 HS classes to discuss
• Spring Plants (Dana Wilhite) on 5/6; Large Mums in fall

New Business:
Color Guard Report  Sandi Williams

• Winter Guard will use NY scrims for their upcoming competitions.

Band Extraveganza Allison Bruflat

• Starting planning for 5/4 and 5/5.

Elections for 2017-18 School Year

• Positions: President, Vice-President, Secretary (Julie Adolphson to continue for one more year), Treasurer
• Committees: Chuckwagon, Father/Daughter Dance, Uniforms, Band Dads

Director’s Report: Ms Gibson:

• Leadership Training, Scott Lang, at Fort Osage, April 10. Cost is $500, which is in budget. Approximately 40 kids will be able to go. May need some money for food
• Kids are planning 5K race, 6/17.

Mr. Houston:

• Percussion Ensemble Mon and Fri after school
• Graceland University (Lamoni, IA), 22 students from MS and HS, leaving 7:30am on 3/28; back around 9:30pm. Need to talk about bus fee with school
• Need food for breakfast and dinner (Subway?); Students paid $30

Mr. Wilson:

• Jazz 1 and Jazz 2 competed in Rockbridge 2/4; Concert 2/16; UCM Jazz 2/25; PSU 3/3; Jazzin at Gem (Jazz 1) 3/4
• Solo/Ensemble accompanist professional and Mrs Pierson to help
• Wind and Brass Ensembles forming Tue/Thu (wind); Wed/Fri (brass) at 6:30am
• Wind Symphony to perform April 13 at NW MO State University; Grandview Jazz 4/29, but that is prom so may not attend
• Large Ensemble 3/24
• Solo Ensemble: 55 events; Preview is 3/2; district 3/18
• Need to hire a visual director (~$2K) and Color Guard drill writer (~$3K)
• Marching band camp (8/1) inside location is TBD due to construction
