​MINUTES OF THE BOARD OF THE
RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC.
February 13, 2018
 
The regular meeting of the Raymore-Peculiar Band Boosters Club was held in the HS Band room.  Those in attendance were: Dana Wilhite, Allison Bruflat, Julie Adolphson, Kellie Norton, Melissa Hogan, John Wilson, Libby Craig, Travis Houston, Gina Riegart, Faye Tait, Catee Houlets, Trina Westhues, Tamarah Pritchard, Sally Fagan, Jen Inman.
 
The meeting was called to order by President Dana Wilhite at 7:02 p.m. 

• Introductions
• Meeting Expectations and Bylaws Objectives:
  • Assist the RP Band program and directors
  • Promote enthusiasm and commitment to band among students, parents, school board and communities
• Support instrumental music education throughout the district
• To raise funds to finance or partially finance activities related to music education

 
Business Reports: 

• The minutes from the January 9, 2018  meeting were reviewed.
• A motion to approve the minutes was made by Kellie Norton, seconded by Melissa Hogan; the motion carried.

 
Treasurer’s  Report: Allison Bruflat

• We currently have $41, 145.21;  which includes $14,997.40 in student ledgers, and $26,147.81 in general fund.
• We have purchased Jazz drumset as discussed in January.
• Some students have not paid class fees; Allison will send email reminders.
• Sherry Dubois is working on the final accounting of the Father Daughter Dance; there should be around $12,000 net from the dance.

 
Director’s Report: Mr. Wilson

• Mattress Sale was a big success; close to $7000.
• Concert on 2/11 was amazing!  All three high school bands and 2 middle school bands were outstanding, and the final number was a combined number with all bands playing together.
• Solo and Ensemble tryouts/recordings are due tonight.  Only 55 performances will be allowed. District competition is at Grain Valley on 3/17.
• Jazz Band will begin performances next week (2/23 NWMO State and UCM); Pitt State on 3/2 and Jazz 1 at Gem on 3/3.
• Chicago Trip: Rooms nearly final, a few minor changes still to be made. We have 162 people going, 43 parents, and 119 students.

 
Committee Reports:
Fundraising - Kellie Norton

• Candy Bars – We will begin selling next week; 2/20 until mid-March. Students will sign out boxes (52 bars per box) from school ; price is $1.00 per bar.
  • Permission slips and information was handed out by Kellie
  • Profit will be 50%
• Trash Bags – Kim Roberts will order
  • We will sell them through April
  • Pick up will be May 8, before band booster meeting
• Chili Cookoff, Live Auction, Car Show
  • April 15, 1-4pm at High School
  • Will try to get donated items
  • Kellie, Gina, Melissa, Jen, Libby, Trina, Brent, Sherry will all help; a lot of parent help is needed
  • Mr Houston will organize the car show
• Spring Plant Sale: Dana Wilhite, last year we earned around $1000.  We will try to set this year’s sale for 5/5/2018. Sally will help Dana organize the sale.
• Father Daughter Dance Recap
  • A motion was made by Kellie to not transfer $2 per ticket sold to general fund; seconded by Melissa
  • Discussion included history (2-year) this has been done given a low general fund balance
  • Treasurer Allison reviewed the current budget for the remainder of the year and recommended keeping the process at this time
  • It was estimated that the result of the movement of these funds ($880 of the $12,000 earned) would average between $5 and $20 for those students who worked the dance; students earned $80 to $400 working the event
  • Money from the general fund is used to support all students
  • Ultimately the motion was not carried, so the $880 will be moved to the general fund

New Business

• Winter Guard: We discussed adding the Winter Guard to Band Boosters
  • Additional fees; fundraising
  • Need equipment and help with competitions (eg, floor, skrims, flags, etc)
  • Boosters requested more details on what the Guard wants from them, so this issue was tabled until next month
• New Board and Committee Members for 2018-19: Nominations are as follows:
  • President: Dana Wilhite

  • Treasurer: Faye Tait
  • Secretary: Libby Craig
  • Chuck Wagon: Angela Weis and Trisha Kelly
  • Uniforms: Jen Inman, Lynette Grant, and Tamarah Pritchard
• Levy Presentation by Dr. Monsees at the March meeting

 
The meeting adjourned at 8:25pm (Melissa Hogan motioned, Kellie Norton seconded). Next meeting March 13, 2018, at 7pm, RPHS Band Room.
