MINUTES OF THE BOARD OF
RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC.

FEBRUARY 10, 2015

The regular meeting of the Raymore-Peculiar Band Boosters Club was held on February 10, 2015 in the South High School library.  Those in attendance were:  Matt Bahon, Mike McIntosh, Jim Johnson, Kim Sickler, Kellie Norton, Robert Hacker, Raelynn Brown, Tracy Caskey, July Godsey, June Harryman, Melissa Hogan, Alec Adolphson, Julie Adolphson, Kim Roberts, Jeff McDowell, Dana Wilhite, Sandi McIntosh, Maria Nicholson, John Wilson, Jennifer Gibson and Dillon Jarrett.

The meeting was called to order at 6:00 pm.

Meeting Minutes Approval:  The December meeting minutes were reviewed and a motion to approve was made by Mike McIntosh and Jim Johnson seconded the motion.  Motion carried.

Director’s Report – John Wilson

• February 21st – Jazz Band II performs at 8:30am and Jazz Bank I performs at 10:30am at the UCM Festival.
  
• February 26th – Middle School and High School Jazz Band Concert at 7:00pm in the Flex Theater at the Middle School.
  
• March 6th – Pitt State Band Festival – the Middle School Jazz Bank, Jazz Band I and Jazz Band II will participate.
  
• March 7th – Jazz Band I will perform at the Gem Theater
  
• March 10th – Solos and Ensemble pre-contest
  
• March 20th – Solos and Ensembles Content at Grain Valley High School
  
• March 23rd – Pre-contest Band Concert
  
• March 26th – State Large Group Contest at Paseo Academy
  
• 60 entries have been sent in for solos and ensembles at content
  
• The Jazz Band performed well at Missouri Valley
  
• Will Dickerson and Sawyer Blechert represented Ray-Pec at the MMEA Conference in January.
  
• Mr. Wilson advised that the band directors have a proposal is going through channels with administration to have band every day starting in 6th grade.  Eighth graders would have options on how many days they want to take band a week.  The band directors are also proposing to hire an additional instructor with a percussion background.
  
• Mr. Wilson introduced Matt Bahon who discussed a fundraiser to sell popcorn.  Matt discussed how the fundraiser would work and provided samples of various flavors.  He has worked with other Ray-Pec organizations that have been successful with the fundraiser.  Each tub of popcorn sold would profit $6.40.  The split of the cost would be 60/40.  This fundraiser would be exclusive to the band and no other organization in Ray-Pec.  The turnaround time after orders are turned in would be 7-10 days.  There are 6 flavors to choose from.  There would be awards for student incentives.

Communication’s Report – Dillon Jarrett

• The date for the Hawaii trip has been set for November 25th – December 2nd, 2015.  Flights are getting worked out.  With the date set, the travel agency can now start setting the itinerary for the trip.
  

Vice President Report – Dana Wilhite

• Nothing to report

Treasurer’s Report – Jeff McDowell

• Checking balance = $28,536.69 / Savings balance = $19,892.35 (balances are as of 1/31/2015)
  
• All bills are paid to date with the exception of a few from the Father-Daughter Dance.
  
• All fundraisers with the exception of the Father-Daughter Dance have been added into the Charms system.
  

Fundraising – Mary Fambrough

• Julie Godsey advised that the Father-Daughter Dance was very successful.  Early estimates indicate approximately $8,300 was brought in.  There were 524 pictures taken of girls attending.
  
• After discussion above regarding the popcorn fundraiser, it was decided this would be a fundraiser for May.
  
• The committee is being to work on Band Extravaganza in May.  They are tentatively proposing to have a dessert bar and snack bar in lieu of dinner.
  
• Karen Comer is coordinating the Cookbook Fundraiser.  She is hoping for 100% profit for the students.  She hopes to sell enough ads to pay for the cookbook.
  
• Another El Dorado Mexican Restaurant fundraiser is being planned for May.
  
• The Band Boosters will be doing the Hot Dog Tent at Price Chopper.
  
• There is a possibility of selling candy bars – Julie Godsey volunteers to coordinate this fundraiser.
  
• There is a possibility of doing the Peculiar Tractor Pull again this June.
  
• Mary is working with Creekside Nursery in Raymore on doing a flower and mulch fundraiser.
  
• April 12th is the mattress sale fundraiser.
  
• Landmark Dodge 2015 Dodge Ram 1500 (4X4 with Hemi engine – 15,000 miles per year) Fundraiser - Maria Nicholson advised the tickets are ready to be sold.  Landmark is paying for the tickets and 200 Legalese Brochures to be printed.  There are 200 tickets that can be sold with a minimum requirement of 120 that have to be sold to make the fundraiser work.  The tickets will be $125 each.  Landmark South Dodge is willing to let us have a ticket booth at the dealership to try to sell more tickets.  The drawing for the truck will be on April 12th in conjunction with the Mattress Fundraiser.

Uniform Chair Report – Tracey Caskey

• Marching band uniforms are ready to go to the cleaners.
  

Hospitality Chair Report – Kim Sickler

• Nothing to report
  

Band Dad’s Chair Report – Mike McIntosh

• The Band Dad’s would like to have some type of brochure/flyer made up to hand out at Band Extravaganza to try to recruit new band dads for the 2015-2016 band year.
  
• Jim Johnson advised the new band trailer is at Transwest.  Transwest is providing $3,000 worth of work for the trailer so there is no cost to the band.  Four new tires are needed for the trailer with a total cost of $800.  Bill Harmon of Harmon Tires in Raymore is providing the tires at his cost.  A motion was made by Mr. Wilton to approve the cost of the tires and seconded by Dana Wilhite.  Motion carried.
• The trailer is going to need graphics before it goes to paint.  In addition to the graphics, there will be a Transwest logo for their sponsorship.  The trailer is expected to go for painting in May or early June.
• Shelving will be needed in the future for the inside of the trailer.
• The trailer will be titled in the next couple of week.
