 MINUTES OF THE BOARD OF THE
RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC
August 10, 2021

The regular meeting of the Raymore-Peculiar Band Boosters Club was held in the choir room. Those in attendance were: Libby Craig, Jenna Craig, Tara Spencer, Jennifer Story, Jennifer Gibson, Jennifer Scrivener, Marian Pfeiler, Seina Pfeiler, Shane Wendt, Victoria Wendt, Nina Hunter, Melissa Adams, Melissa Guyer, Gina DeForest, Mike Oldham, Ella Oldham, Jason Heuwinkel, Dillon Jarrett, Zach Shupe

The meeting was called to order by Jennifer Story at 7pm

• Introductions
• Meeting Expectations and Bylaws Objectives:
  • Assist the RP Band program and directors
  • Promote enthusiasm and commitment to band among students, parents, school board and communities
• Support instrumental music education throughout the district
• To raise funds to finance or partially finance activities related to music education

Business Reports:  

• Motion to approve minutes from June and July booster meetings made by Jen Story, seconded by Jennifer Gibson. Approved

Director Report: Jennifer Gibson

• Band photos were today- Everyone was in a uniform! Thanks to everyone that was able to help.
• Senior Night is 8/27- also first home game. Should have at least the 1st movement on the field.
• Band Camp is going very well
• Leadership training for all section leaders has helped the program to become more student led.  It has been awesome.
• 9/25- Season officially starts
• Band needs people to help build props-there are tons of props, more than ever before.
• All adults helping must have background check

       Dillon Jarrett-

•  Mr. Burr helping to build props. Let him know if you like to build-2x4 to make frames to attach tarps- 7 frames and 8 scrims
• Band Dad alum willing to come back and help get things going.
• Gator- Trailers-does anyone have these that we can use?  Heartland Tractor?
• White trailer will be used for props

       Zach Shupe-

• Barrels- primed and ready for paint.  Still need to buy paint
• Need to turn in receipts $256.06 so far, probably another $300 for paint and stencils
• Need someone to move white trailer to practice field- Marian Pfeiler volunteered

Treasurer  Report: Tara and Marian

• Still working on getting Marian added to bank account
• Need master list of band members
• Can’t put band fees in until all separate pieces are known-ex. shirts, hoodies, shoes
• ~$10,000 paid last year.  ~$20,000 fundraised, $3557.00 written off from 2019/20, 15 students still owe $1437.00
• Do we want to have Boosters at the Open House on Aug 25?
• Band Fees due 9/25 or students not allowed to perform

Color Guard:

• Guard is doing awesome
• Uniforms are in and are really cool

Fundraising: Jen Story for Mindy

• Shivers was awesome
• Trash Bags- 8/17-9/7 -forms being handed out on Thursday.Final Turn-in 9/8- Delivery 9/22
• Mums- 8/24-9/13- forms due 9/9- NO LATE ORDERS- Delivery 9/29 $25/ $10 profit
• Service hours will be offered for both delivery dates
• Apparel Orders- There will be new designs this year
• Programs- Jennifer Scrivener- Director Pictures 8/11, $2800 sold in ads. 16 seniors in Marching Band, 3 senior ads so far, Deadline Friday 8/13

Band Dads: Mike Oldham and Jason Heuwinkel willing to help lead along with Brent Reigert
Uniforms:Melissa Adams

• Everyone has been fitted
• Still need to order a few bibbers
• Everything should be done this week
• Tagging Bibbers and Jackets- everything will be numbered and matched with names
• Help needed when getting kids dressed
• Kids need black socks -crew length or longer- may buy some spares from Sam’s Club

Chuckwagon: Haven’t heard from Tricia- may need to find a new lead

New Business.

• Will be going over eligibility with the kids- 1 F ok to perform at MSHSAA events, 2 F’s out
• Will we be collecting water donations-where will they be stored
• Family Night?
